What personal data we collect and why we collect it
As a ‘controller’ under the Data Protection (Jersey) Law 2018 we process and hold your information in order to run the Association and offer our services. We may not be able to provide you with a service unless we have enough information, or your permission to use that information. Below, we explain what we collect; how we will use your information; and what your rights are:
Data we collect:
We collect your personal details including:
For participants: name, address, contact details, any relevant medical information that may impact on the provision of service, attendance at sessions and DOB, if under 18
For members: name, address, contact details
For those joining the MYA mailing list: name and email address
Teachers: name, address, contact details and information regarding training, qualifications, experience, registration and insurance.
Partner organisations: Name of organisation, organisations role, name and contact details of organisations representative/s and organisation’s referrers.
and we do this in order
- to carry out the service you have requested;
- to monitor and improve our performance;
- to ensure that we meet our legal obligations;
- to process financial transactions;
- to allow the statistical analysis of data so we can plan the provision of further teaching;
We may also collect information about your health to ensure we provide you with appropriate teaching.
How we use data:
We will endeavour to keep your information accurate and up to date and not keep it for longer than is necessary. Please, see our data retention schedules for more detail about how long we retain your information. We will not pass any personal data on to anyone outside of MYA Jersey without your express permission, other than for legal requirement, and we will only do so, where possible, after we have ensured that sufficient steps have been taken by the recipient to protect your personal data. We do not process your information overseas using web services that are hosted outside the European Economic Area. At no time will your information be passed to organisations for marketing or sales purposes or for any commercial use.
How we store data:
Your data is stored securely and only accessed by those who require the information in order to offer you a service.
Your rights:
You can ask us: to stop processing your information; to correct or amend your information; for a copy of the information we hold about you. You can also: request that the processing of your personal details is restricted; and withdraw your consent to the processing of your information.
You can complain to us about the way your information is being used by contacting us at info@myajersey.org.je; alternatively you can complain to the Information Commissioner by emailing enquiries@dataci.org.

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.
An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Contact forms
Any information sent through the contact form will be forwarded to info@myajersey.org.je. If the contents need to be stored for any of the above reasons the privacy policy will be followed.

How long we retain your data
If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.
For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
What rights you have over your data
If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
